Role to be filled
Malfare | Logistics Lead
Year Round and on site
PURPOSE/SUMMARY
To work as part of the Malfare Team with responsibility for managing the physical resources needed to keep the Malfare department running smoothly.
Tasks and Time Commitment
This is a year round role, and planning typically starts in earnest from January, taking maybe an hour or two a week and getting busier in the run up to July. The month before the event is usually the busiest, requiring up to two or three hours weekly depending on workload and team size, and after the event there are some wrap up tasks before a lull until the cycle starts again.
Here’s an example of some of the tasks you’ll be helping with throughout the year:
Pre-Event
- Attend monthly online meetings with the Malfare Team and Participant Wellness MetaLead to assist with planning
- Produce a “shopping list” (purchase list) of items which will be required by Malfare during the event, mostly consumables (office supplies, items for Nomad bags, some basic health/well being items), and send to Purchasing.
- Keep a tally of Malfare’s budget, how much is being spent and how much is left, in collaboration with the Malfare Lead
- Create and maintain an inventory of all Malfare’s physical stuff
- Place an order any swag required (Nomad patches and possibly other items)
- Order A1 maps x2 of the Nowhere site, one for the office, one for the Malfare tent (wipeable)
- Assist the Malfare Training Lead with ordering/printing of training materials if applicable
On-Site
- Set up, or have a volunteer set up, the Malfare Cabin and Malfare Tent ready for event-time operations
- Ensure the Nomad bags are stocked and the Malfare office is organized
- Receive any items ordered via Purchasing
- Keep the Malfare cabin in a tidy and usable state
- You may choose to undertake a Malfare or Nomad shift or two in order to better inform your knowledge of Malfare’s logistics needs in future years
- Participate in any on site meetings relevant to your role
Post-Event
- At the end of the event, pack away, or arrange for a volunteer to pack away, the Malfare Cabin whilst taking an inventory
- Provide an inventory of Malfare items in storage, and those that will need to be purchased the next year
Provide written feedback in the form of a Post Nowhere Report (PNR) - Participate in a wrap up meeting with your team and/or MetaLead as appropriate
- If you intend to step down, ensure the Role Description is up to date
- Attend the annual All Leads Meeting (ALM) if possible
