Malfare | Planning Lead
Year Round and on site
PURPOSE/SUMMARY
Within the Malfare Team, to produce and update documentation and procedures, and ensure that those processes are followed.
Tasks and Time Commitment
This is a year round role, and planning typically starts in earnest from January, taking maybe an hour or two a week and getting busier in the run up to July. The month before the event is usually the busiest, requiring up to five or six hours weekly depending on workload and team size, and after the event there are some wrap up tasks before a lull until the cycle starts again.
Here’s an example of some of the tasks you’ll be helping with throughout the year;
Pre-Event
- Attend monthly online meetings with the Malfare Team and Participant Wellness MetaLead to assist with planning
- Review the protocols (flow charts to guide response in the event of various types of emergency situation) ensuring they are reliable and practical
- Instigate and review other policies, procedures, and documentation, such as the 3P process, and onsite documentation and information flow of incidents
- Ensure that the technology, analogue or digital, is available to Malfare volunteers to record and pass on information about onsite incidents as they unfold
- Communicate all policies and documents as required to relevant teams and people
- Ensure that Malfare’s policies and procedures connect neatly with those of other departments, such as Welfare, Inclusion, and Consent
On Site
- Ensure the information flow between Malfare shifts is smooth so that nothing is lost in handovers between shifts
- Ensure information about incidents is captured in a way that is useful for:
- Malfare and Nomads to be able to deal with issues onsite
- To inform the Consent Committee, should a participant be directed to them
- Future reference, should the participant in question be involved in a further incident
- You may choose to undertake a Malfare or Nomad shift or two in order to better inform your knowledge of Malfare’s activities to inform future procedural improvements
- Participate in any on site meetings relevant to your role
Post-Event
- Archive Incident Report Forms and extract useful information from them to improve processes next year
- Provide written feedback in the form of a Post Nowhere Report (PNR)
- Participate in a wrap up meeting with your team and/or MetaLead as appropriate
- If you intend to step down, ensure the role description is up to date
- Attend the annual All Leads Meeting (ALM) if possible

Required Skills
- Fluent in English
- Has done Nomad (Ranger) training and at least a few shifts at Nowhere or similar event
- Passionate about Nowhere and Malfare
- Organized and keen to Get Stuff Done!
- Strong communication skills
- Discretion, tactfulness, integrity, and diplomacy skills
- Able to make a significant time commitment, pre-event and during
- Standard IT skills: spreadsheets, social media, a willingness to work with FIST
Bonus skills
- Speaks Spanish and/or French
- Previous experience producing documentation and managing information flow
- Experience/training in crisis situations
- A love of Zoom meetings
